Position Description

The Data Entry Officer will be responsible for entering CRLP project-related data for eligible beneficiaries, including data related to Cash for Work (CFW), skilled and non-skilled labour, and other project interventions into the project's MIS/database system.

The Data Entry Officer will ensure that project data is entered accurately, completely, and on time. The position holder will also assist the Project/District Manager with data collection, sorting, verification, and cross-checking of information received from field staff before entering it into the MIS system.

The position will also provide appropriate support with project-level administration and finance-related documentation when required.

Specific Tasks and Responsibilities

Data Entry and MIS

  • Ensure that all CRLP/project-related data is entered accurately into the MIS/database system.
  • Review data regularly to ensure quality and accuracy, including identifying errors, missing information, duplication, and information requiring follow-up.
  • Enter digital payment-related data accurately and follow the required MIS procedures.
  • Cross-check lists of labourers for Cash for Work and beneficiary lists with attendance sheets, survey lists, and other supporting documents before entering information into the MIS.
  • Cross-check data received from field staff and Social Organizers before entering it into the database.
  • Maintain organized hard-copy and soft-copy filing systems.
  • Cross-check recorded data and provide regular updates to the supervisor regarding data entry progress and accuracy.
  • Conduct regular data quality checks to ensure project data is accurately recorded.
  • Ensure all project intervention data is verified after complete and correct entry.
  • Provide weekly updates on data entry and data verification progress.
  • Inform the Project/District Manager about the functionality or non-functionality of the database.
  • Inform the relevant project supervisor about data entry processes or problems when required.
  • Support the Project/District Manager in following up with local authorities and community members when beneficiary numbers or other information require re-confirmation.
  • Ensure that data is not entered repeatedly and that no eligible beneficiary is omitted from the lists provided by field staff.
  • Extract data using appropriate queries and prepare required reports.
  • Maintain appropriate backups of the database and ensure that important data is securely preserved.
  • Ensure that hard and soft copies of project data are properly recorded and maintained.
  • Maintain confidentiality and security of beneficiary and project information.

Administration

  • Assist the Project/District Manager with maintaining and updating project and staff records.
  • Assist with attendance and other routine administrative records when required.
  • Support the maintenance and updating of inventory, stock, and asset records.
  • Assist with organizing and maintaining project documentation and filing systems.
  • Support the preparation and checking of administrative documents.
  • Assist with recruitment-related and personnel documentation when required.
  • Support the Project/District Manager with other routine administrative tasks.
  • Ensure that administrative records are complete, accurate, and properly filed.

Finance Support

  • Assist in collecting and organizing invoices and supporting financial documents.
  • Support the Project/District Manager in preparing documents related to project expenditures.
  • Ensure financial supporting documents are complete and properly maintained.
  • Assist with procurement-related documentation when required and in accordance with AWEDO procedures.
  • Support other finance and administration-related tasks assigned by the supervisor.

Other Responsibilities

  • Strictly follow AWEDO's existing security policies, procedures, safeguarding requirements, and daily instructions.
  • Maintain confidentiality of organizational, staff, beneficiary, and project information.
  • Maintain professional conduct and respectful communication with colleagues, beneficiaries, community members, and stakeholders.
  • Prioritize tasks effectively and complete assigned responsibilities within required deadlines.
  • Report any data, administrative, financial, or security concerns to the immediate supervisor.
  • Perform any other task assigned by the supervisor.

Education, Qualifications and Experience

Education

Bachelor's degree in Computer Science or a related field is required. A Master's degree in a relevant field will be considered an advantage.

Experience

The candidate must have a minimum of 3 years of proven relevant experience in data entry, database management, data management, or a related field.

Previous experience working with NGOs, humanitarian organizations, or development projects will be an advantage.

Languages

Fluency in oral and written English, Dari, and Pashto is required.
