Position Description

The HR & Administration Assistant will support the Human Resources and Administration Department in maintaining employee records, recruitment documentation, attendance records, personnel files, administrative documents, and general office administration. The position holder will ensure that HR and administrative records are accurate, organized, confidential, and maintained according to AWEDO policies and procedures.

Key Responsibilities

  • Assist with recruitment and personnel administration.
  • Maintain accurate and confidential employee personnel files.
  • Assist in preparing employment contracts and HR documentation.
  • Maintain employee attendance and leave records.
  • Assist with staff onboarding and orientation.
  • Prepare HR correspondence and administrative documents.
  • Support recruitment processes, including scheduling tests and interviews.
  • Maintain updated staff lists and HR databases.
  • Assist in preparing HR reports and staff-related information.
  • Support administration of employee benefits and entitlements.
  • Assist with office administrative activities and documentation.
  • Maintain organized electronic and hard-copy filing systems.
  • Support preparation of meetings, workshops, and internal events.
  • Follow up on administrative requests from staff and departments.
  • Maintain confidentiality of employee and organizational information.
  • Follow AWEDO HR, administrative, safeguarding, security, and other policies.
  • Perform other duties assigned by the supervisor.

Education, Qualifications and Experience

Education

A Bachelor’s degree in Human Resources, Business Administration, Management, Public Administration, or a related field is required.

Experience

  • At least 2–3 years of relevant experience.
  • Previous experience with an NGO or development organization is preferred.
  • Experience in HR administration, personnel records, recruitment, and office administration is an advantage.

Other Qualifications

  • Good knowledge of Microsoft Office, particularly Word and Excel.
  • Strong organizational and filing skills.
  • Good interpersonal and communication skills.
  • Ability to handle confidential information professionally.
  • Strong attention to detail.
  • Ability to work independently and as part of a team.
  • Ability to prioritize tasks and meet deadlines.

Languages

Good command of English, Dari, and Pashto, both written and spoken, is required.
