Position Description

The Program Assistant will provide administrative and programmatic support to the Program Department. The position will assist with program documentation, activity coordination, data collection, reporting, filing, communication, and follow-up of program activities. The position holder will work closely with program staff and other departments to ensure that program activities and documentation are properly organized and maintained.

Key Responsibilities

  • Assist program staff in planning and coordinating program activities.
  • Prepare and organize program-related documents and correspondence.
  • Support the preparation of activity plans, reports, meeting minutes, and other documents.
  • Maintain organized electronic and hard-copy program files.
  • Assist in collecting and compiling program data and supporting documents.
  • Follow up with relevant staff regarding program activities and deadlines.
  • Assist with preparation of training, workshop, and meeting materials.
  • Support monitoring of program activities as assigned.
  • Maintain updated records of program activities and participants.
  • Assist in preparing regular program updates and reports.
  • Coordinate with other departments when required.
  • Maintain confidentiality of organizational and program information.
  • Follow AWEDO policies and procedures, including safeguarding and security requirements.
  • Perform other duties assigned by the supervisor.

Education, Qualifications and Experience

Education

A Bachelor’s degree in Business Administration, Management, Social Sciences, Development Studies, Public Administration, or a related field is required.

Experience

  • At least 2–3 years of relevant experience, preferably with an NGO or humanitarian/development organization.
  • Experience in program administration, documentation, reporting, or coordination is preferred.

Other Qualifications

  • Good knowledge of Microsoft Word and Excel.
  • Strong organizational and documentation skills.
  • Good communication and interpersonal skills.
  • Ability to prepare clear reports and correspondence.
  • Strong attention to detail.
  • Ability to work independently and as part of a team.
  • Ability to work under pressure and meet deadlines.
  • Willingness to travel to project locations when required.

Languages

Good command of English, Dari, and Pashto, both written and spoken, is required.
